Minutes of Meeting

  • CALL TO ORDER
  1. This Special Meeting was called to order at 1:18pm, at 27915 NE 151st Street, Duvall, WA.
  • ROLL CALL
  1. A quorum is present.
  2. Members present:
    1. Larry Stout, President (by phone); Daneen Haynes, Vice President; Patrick Kevin, Treasurer; Cindy Stout, Secretary.
  • REVIEW OF LANDSCAPE CONTRACTOR BIDS
  1. Three contractors have provided bids:
    1. Sabas Arrieta (7,200 initial cleanup + maintenance cost of either weekly ($1,000), every two weeks ($800), or monthly ($600). A bid for walkway lighting was also included.
    2. JP Landscape ($3,071/per year).
    3. Ausencio Trejo (Verbal bid $2,300/per year).
  2. The Board was split with Larry and Daneen preferring to award the bid to Ausencio, and Patrick and Cindy preferring to award the bid to JP. Larry made the point that the difference in JP’s bid constitutes a $700 annual increase in landscaping expense, a 30% increase over current spending and 13% of our total annual revenue.  Patrick and Cindy made the point that JP’s bid outlines a professional schedule of work to be done and JP has been more responsive to communication which is worth the extra expense.
  3. A decision was made to approach JP and request a reduction in their bid; and to approach Ausencio and request a written contract outlining the scope of his work, with a reply requested by Sunday, March 31st.
  • DISCUSSION OF NATE WYATT’S EMAIL RE: FENCE/COMMON AREAS/DISCOUNTED LAWN CARE.
  1. Daneen will contact the City of Duvall re: what areas the City is responsible for maintaining and what expectations they have of AGHOA for maintenance. Also check the Google Drive for past documents on this subject.
  2. It was agreed that as a Board it’s not our place to negotiate a discounted lawn care agreement, but we may email HOA members and see how many are interested. If there are several, we could turn the project over to Nate to negotiate and manage.
  • NEXT MEETING
  1. Our next meeting is scheduled for May 19th but it was agreed to re-schedule it for May 5th, at 1:30pm.
